# FieldEdge Alternatives: 8 Picks and a 60-Day Clause

The best FieldEdge alternative is the one that fixes the specific reason you are leaving without breaking the one thing FieldEdge does unusually well: talking to QuickBooks. And the most expensive mistake in this decision has nothing to do with software. It is a date on your contract.

The standard terms behind FieldEdge are [Xplor's US SaaS terms](https://www.xplortechnologies.com/wp-content/uploads/sites/13/2024/05/231026-Xplor-US-SaaS-Terms-Online-v1-2.pdf), which is where fieldedge.com/legal sends you. Section 2.2 says the agreement renews automatically for successive 12 month periods unless either party gives written notice at least 60 days before the term expires. Section 13.4 says that if you walk away early without cause, you owe an Early Termination Fee equal to your monthly fees times the months left on the term.

So a shop on a 12 month term that decides to switch in month eleven is already past the notice deadline, and has just bought another year. The alternatives lists ranking for this search, most of them written by competing vendors, skip that entirely.

- **QuickBooks Desktop is not the emergency it was sold as.** Intuit now says Desktop 2024 gets continuous updates. The real problem is the always-on server FieldEdge requires.

## What FieldEdge actually is, and who it was built for

FieldEdge is a service management platform for HVAC, plumbing and electrical contractors, and it is older than almost everything it competes with. [FieldEdge's company timeline](https://fieldedge.com/company/) starts with Coastal Computer Corporation in Fort Myers in 1980, then dESCO in 2006, Highland Creek Partners in 2015, and Clearent Software Holdings under Advent International in 2017, when it rebranded to FieldEdge. In 2021 Clearent and TSG merged to form Xplor, and FieldEdge now sits in Xplor's Field Services division. At least one ranking list says it is owned by the company behind Xactimate. Its own history says otherwise, and Xplor is who you will be negotiating with.

The timeline also claims FieldEdge was the first company to fully integrate QuickBooks with field service management, in 1999. That heritage is still the main reason people buy it.

Scale is real. When FieldEdge joined [Carrier's Preferred Vendor Program in November 2023](https://www.prnewswire.com/news-releases/fieldedge-by-xplor-becomes-a-preferred-vendor-for-carrier-301990419.html), the announcement said over 40,000 mechanical contractors use it, and the program gives Carrier dealers preferential pricing and loyalty rewards. If you are on that discount, price alternatives against your discounted number, not a list quote.

## Why contractors leave FieldEdge

Four reasons recur across reviews and trade subreddits: the field app, support, what the QuickBooks integration does not carry, and cost as the team grows.

The overall rating is not bad. [Capterra lists FieldEdge at 4.2 out of 5 across 312 reviews](https://www.capterra.com/p/111740/FieldEdge/reviews/), with 4.4 for customer service, next to FieldPulse at 4.6 and ServiceTitan at 4.3 in its similar products box. The average hides a split: owners with a good onboarding tend to love it, and owners with a bad one describe a different product.

### 1. The field app

This is the most consistent complaint from technicians. In an [r/HVAC thread about the app](https://www.reddit.com/r/HVAC/comments/unhayi/has_the_fieldedge_app_been_extra_shitty_this_week/), the original poster said required fields on the cooling maintenance checklists were disappearing, so forms could not be completed, and that the app would hang on the loading screen until it was uninstalled and reinstalled. The first reply: "when is it ever not shitty?" In [a separate r/HVAC thread](https://www.reddit.com/r/HVAC/comments/15tybr0/fieldedge/), one user wrote that if you lose internet and try to do something, it locks up so badly you have to delete the app and wait for it to download and sync again.

Connectivity is the underlying issue. A Capterra reviewer noted in July 2026 that sync delays occur in basements and isolated mechanical rooms, which for this trade is not an edge case.

### 2. Support and onboarding

The 4.4 support score is real, and so are the exceptions. One Capterra reviewer described onboarding replies taking two days to a week, and a bug where none of the costs for their 2,400 items transferred from QuickBooks Online, so six months in they were still entering costs by hand to see markup. Another wrote that they "left FieldEdge for ServiceTitan a few years later and never looked back."

The most detailed account is from a long comment in [an r/HVAC thread about switching to FieldEdge](https://www.reddit.com/r/HVAC/comments/1itc1dh/time_to_switch_companies_and_field_edge_platform/). The office user described support phones going quiet before the advertised close, two case managers since March, and a main business phone number missing from October to April during a port. It is one angry comment, but the phone number detail belongs on every switching checklist.

### 3. The QuickBooks integration is deep, but not total

The same r/HVAC commenter wrote that "not all the fields transfer over from field Edge to online," which in their shop broke the purchase order and inventory workflows, and that some changes have to be made in QuickBooks to push back into FieldEdge while others go the other direction. A locksmith on Capterra, otherwise happy, noted that adding a sales tax rate has to be done from QuickBooks. When QuickBooks is the master for some records, every accounting quirk becomes an operations quirk.

### 4. Cost as you hire

FieldEdge does not publish prices. [Its pricing page](https://fieldedge.com/pricing/) lists Select, Premier and Elite plans, each with a Request Pricing button, and says pricing "can vary based on several factors, such as how many technicians or employees are on your team, and which add-ons you might need." It also says FieldEdge does not offer a free trial. One Capterra reviewer summed up the cost side in five words: "VERY expensive per month per user."

If headcount drives your bill, a per-seat replacement just moves the problem.

## The contract clause to read before any demo

Before you evaluate a single vendor, find three things in your paperwork: your Initial License Period, your renewal date, and whether your Order Form changes the standard terms. The [Xplor terms](https://www.xplortechnologies.com/wp-content/uploads/sites/13/2024/05/231026-Xplor-US-SaaS-Terms-Online-v1-2.pdf) say the Order Form wins wherever the two conflict.

Under the standard terms, here is how the calendar works.

Worked example: say your monthly FieldEdge invoice is $1,500 and your renewal date is March 1. Written notice has to land by about December 31. Send it on January 15 and you have renewed for twelve more months. Try to leave anyway at the start of April and the Early Termination Fee is $1,500 times 11 remaining months, or $16,500, before outstanding invoices.

The $1,500 is illustrative, so use your own invoice. The cheapest migration lines up with your non-renewal window. The most expensive one is a great new tool paid for alongside a year of the old one.

## The QuickBooks Desktop question, updated for August 2026

If you run QuickBooks Desktop, you have probably been told you have to leave soon. That changed this summer.

The confirmed facts: Intuit [stopped selling new Desktop Pro Plus, Premier Plus and Mac Plus subscriptions in the US after September 30, 2024](https://quickbooks.intuit.com/learn-support/en-us/help-article/new-subscriptions/us-quickbooks-desktop-sold-july-2024/L5lkQNq7L_US_en_US), though existing subscribers can renew and Enterprise is unaffected. [Desktop 2023 was discontinued after May 31, 2026](https://quickbooks.intuit.com/learn-support/en-us/help-article/feature-preferences/quickbooks-desktop-service-discontinuation-policy/L17cXxlie_US_en_US), ending its payroll tax updates, bank feeds and security patches.

Then the reversal. Intuit's page on [the QuickBooks Desktop release process](https://quickbooks.intuit.com/learn-support/en-us/help-article/update-products/understand-quickbooks-desktop-release-process/L2tnnGnFE_US_en_US), updated August 5, 2026, says Desktop Plus 2024 and Enterprise 24.0 were the last annual releases and that Intuit has moved to continuous updates. CPA firm [Katz Abosch reports](https://www.katzabosch.com/thought-leadership/quickbooks-desktop-is-being-phased-out-what-business-owners-need-to-do-now/) that under Intuit's August 2026 guidance, Desktop 2024 is no longer being discontinued in May 2027, and that version 24.0 now has no sunset deadline. What that means for a FieldEdge shop: if you are on Desktop 2023 or older, you need to act, but upgrading to 2024 is an option. If you are on 2024 or Enterprise, there is no hard deadline pushing you off FieldEdge.

The real Desktop problem is architecture. [FieldEdge's system requirements](https://xplorcontactcenter.my.site.com/fieldedge/s/article/FieldEdge-System-Requirements-1730403962426) spell it out:

- The server running QuickBooks Desktop "must remain powered on and active at all times."
- You need "a dedicated Full Access QuickBooks license for the FieldEdge QuickBooks Connector."
- A second business entity with its own EIN needs its QuickBooks file on a separate physical server.
- A third party host must allow third party apps, and the page notes Right Networks does not.
- FieldEdge is not compatible with QuickBooks for Mac, and on QuickBooks Online it needs Essentials or higher.

One Capterra reviewer with 30 years in IT said the connector went offline every time the software upgraded, leaving billing and payroll data stuck for weeks. FieldEdge's help article on [pausing the connector](https://xplorcontactcenter.my.site.com/fieldedge/s/article/Pausing-and-Connecting-the-FieldEdge-Connector) confirms that while it is paused, transaction posting stops until someone resumes it.

So the real Desktop question is not when Intuit kills it. It is whether you want to keep a server running in a closet so your field software can reach your books.

### If you have outgrown FieldEdge: ServiceTitan

ServiceTitan is where many FieldEdge shops go for more depth. One r/hvacadvice user said their company [paid for FieldEdge and ServiceTitan at the same time for a couple of months](https://www.reddit.com/r/hvacadvice/comments/1elizjw/fieldedge_will_be_the_death_of_me/) before deciding ServiceTitan was far superior, and in [another r/HVAC thread](https://www.reddit.com/r/HVAC/comments/sno69i/does_anyone_use_fieldedge_for_dispatching_were/) a user whose FieldEdge migration stalled said they were going to ServiceTitan instead.

ServiceTitan's pricing page lists Starter, Essentials and The Works, all Request Pricing, per technician. For a real number, look at [an r/ProHVACR thread](https://www.reddit.com/r/ProHVACR/comments/1ovdgnn/have_outgrown_legacy_esc_desco_software/) from an owner with 9 technicians, 3 install crews and 2 new home crews who had run ESC, the dESCO product FieldEdge succeeded, for about 11 years. He posted a ServiceTitan quote of $3,800 to migrate, then $345 a month per technician for 2 years. For 9 technicians that is $3,105 a month, or $74,520 over the term. Replies told him not to "just bite the bullet" unless he would grow into it.

On accounting, ServiceTitan supports Desktop through a Web Connector that, per [ServiceTitan's help docs](https://help.servicetitan.com/docs/web-connector-setup-step-1-download-and-install-connector), is installed where the QuickBooks file lives, so you trade one connector for another. ### If per-user cost is the problem: Service Fusion

[Service Fusion's pricing page](https://www.servicefusion.com/pricing) is the clearest answer to headcount-driven bills in this group. Every plan includes unlimited users. Starter is $225 a month, Plus is $350 and Pro is $575 on monthly billing, or 15% less on annual billing ($192, $298 and $489). The page says plans are month to month with no contract requirement, and that Service Fusion integrates with both QuickBooks Online and Desktop.

The catch is the plan line-up. Inventory management, job costing and job photo uploads start at Plus, and customer web portal, eSign and recurring invoicing start at Pro. A FieldEdge shop that uses inventory and job costing today should compare against the $350 plan, not the $225 one.

### If you want a small, simple tool with published prices: Jobber

[Jobber's pricing page](https://www.getjobber.com/pricing/) starts at $29 a month on annual billing for Core with one user, and Grow runs $229 a month annually for five users or $299 for ten, with extra users at $29 a month each. Job costing is in Grow. Jobber offers a free trial with no credit card.

The disqualifier is accounting. [Jobber's QuickBooks FAQ](https://help.getjobber.com/hc/en-us/articles/115009616147-QuickBooks-Integration-FAQs) says it can only sync with QuickBooks Online, and "there is no active sync with QuickBooks Desktop." ### If you want easy tech adoption: Housecall Pro

[Housecall Pro's pricing page](https://www.housecallpro.com/pricing/) lists Basic at $59 a month on annual billing with one user, Essentials at $149 with five users, and MAX at $299 with eight, plus $35 a month per additional user on MAX. Month to month those are $79, $189 and $329. It offers a 14-day free trial.

In that same r/ProHVACR thread, one owner said they had been in the same spot the year before, chose Housecall Pro, and found onboarding "near seamless." ### If you want to keep two-way Desktop sync: FieldPulse

This is the one most lists undersell for FieldEdge users. [FieldPulse's Desktop documentation](https://help.fieldpulse.com/en/articles/8292219-pre-sync-quickbooks-desktop) says customers, line items, estimates, invoices and payments created or edited in either FieldPulse or QuickBooks are automatically created or edited in the other. That is the same two-way model FieldEdge users are used to.

The conditions: QuickBooks Desktop 2024 or newer on Windows, setup in single-user mode, and sleep mode disabled on the computer running the sync. Refunds do not sync, and item or customer names over 31 characters fail. Pricing is not published. [FieldPulse's pricing page](https://www.fieldpulse.com/pricing) says it is seat-based, you buy a set number of seats upfront for your contract term, and you get a custom quote. Ask about term length and renewal notice before you sign.

### If you want AI call answering: Workiz

Workiz sells Genius Answering as an add-on that answers calls, emails and texts around the clock. All three plans on [the Workiz pricing page](https://www.workiz.com/pricing-plans/) now say Request Pricing, and service plans, inventory and flat rate sit in the top Ultimate plan.

[Workiz's Desktop integration](https://help.workiz.com/hc/en-us/articles/33040652195729-Connecting-your-QuickBooks-Desktop-account-to-Workiz) needs Desktop 2022 or later and the Web Connector, and after the initial sync it only sends data from Workiz to QuickBooks.

### If you want off QuickBooks entirely: Successware

Successware takes the opposite approach to FieldEdge. Its [integrated accounting page](https://www.successware.com/features/integrated-accounting/) lists accounts receivable, accounts payable, income statements and balance sheets inside the platform, pitched as eliminating the need for third-party accounting software, with payroll through integrations such as ADP and QuickBooks Payroll. It is part of JDM Technology Group, and pricing is by demo.

It suits an owner whose real frustration is two systems disagreeing, and not one whose CPA works entirely in the QuickBooks file.

### If you do commercial or project work: BuildOps

[BuildOps' pricing page](https://buildops.com/pricing/) says pricing is based on the number of field and office users and is quoted per operation, with implementation included. It claims more than 1,500 commercial contractors, and it integrates with Viewpoint Vista, Viewpoint Spectrum, Sage Intacct, NetSuite and QuickBooks. One r/hvacadvice commenter said it has been great for maintenance contracts and service work, while admitting implementation "was definitely hard." The pricing column is the finding. FieldEdge's "request pricing" approach used to stand out. Now five of these eight work the same way, and one ranking list still quotes FieldPulse at a per-user monthly figure its own page no longer shows. Only three let you do the math before a sales call.

## What the published prices look like at 10, 15 and 20 users

For the three vendors that publish pricing, here is the monthly bill on annual billing, on a plan that includes job costing.

At 10 users the three are close. By 20, Service Fusion's flat rate is about half of Jobber and under half of Housecall Pro. The plans differ on route optimization, service plans and proposals, but the curve holds. Put your FieldEdge quote in the same table at your 18 month headcount.

## The FieldEdge export and switching checklist

Start this 90 days before your renewal date, so written notice goes out with a margin before the 60 day cutoff.

1. **Pull your Order Form and find the renewal date.** Put the notice deadline, renewal date minus 60 days, in the calendar of two people.
2. **Send written non-renewal notice** once your shortlist is down to two, even if you have not signed the new vendor. Notice stops the renewal, not your current term, so you keep working in FieldEdge until the end date.
3. **Run the five exports.** [ServiceTitan's FieldEdge export guide](https://help.servicetitan.com/docs/export-your-fieldedge-data) lists them: the Export button on the Customers, Dispatching, Invoices and Quotes tabs, plus Reports, Customer Reports, Equipment List.
4. **Set every filter to All before exporting invoices.** The guide warns that otherwise you get only the previous six months. If a report errors, run it in one year batches.
5. **Check the equipment export.** It carries manufacturer, model, serial number, install date and warranties. For an HVAC shop that file is the maintenance business, so verify row counts.
6. **Plan the price book separately.** It is not one of the five exports. In the r/HVAC thread, the office user said they could not export, update and re-import the price book, and had to go through their account manager. Ask support for a full price book export in writing, early.
7. **List what is not in any export.** Service agreement schedules, job photos and attachments, call recordings, marketing lists and customer notes history. Decide what to rebuild and what to archive as PDFs.
8. **Remember QuickBooks already holds your financial history.** Synced invoices and payments are in your company file, so the new platform needs customers and open balances, not years of transactions.
9. **Pause the FieldEdge QuickBooks Connector before the new tool connects** to the same company file. Two integrations writing customers into one QuickBooks file is how duplicates happen, and Workiz's own docs note that QuickBooks rejects invoices for duplicate customer names.
10. **Port your phone numbers first, not last.** If FieldEdge or a partner holds your main number or tracking numbers, start the port weeks early and confirm it completes before cutover.
11. **Run both systems for a short overlap.** New jobs go into the new system, open work finishes in FieldEdge, and nobody enters the same job twice.

## The honest case for staying on FieldEdge

Not everyone should leave. A plumbing contractor on Capterra demoed five or six apps, chose FieldEdge despite the higher price, and credited its packages feature with growing his average ticket. Another reviewer switched to FieldEdge from ServiceTitan purely on cost.

Stay if all of these are true:

- Your technicians are not fighting the app every day, or your service area has good coverage.
- You have a strong customer success manager, a recurring theme in the five-star reviews.
- QuickBooks is your system of record and a two-way sync matters more to your bookkeeper than anything a competitor demoed.
- You are a Carrier dealer getting program pricing that no quote on this page beats.

Then spend the energy on the renewal: negotiate the price increase clause, ask for termination on notice in your Order Form, and get a price book export commitment in writing.

## When a custom CRM makes more sense than any of these

In the r/ProHVACR thread about outgrowing ESC, one contractor said they were on the home stretch of building their own system in house, that it matched their workflow perfectly, and that after demoing and paying for others they had come to loathe "just about every piece of construction software."

That is not the answer for a typical five-truck residential shop, where the platforms above are cheaper to start. It makes sense when three things line up: your per-user software bill is well into four figures a month, your workflow mixes service and project work in a way none of these tools model cleanly, and your accounting setup, whether QuickBooks Desktop, Sage or something else, is fixed. Price book, service agreements, photos and call recordings are not in those five files.
