# Is Mindbody Overcharging Me on Processing Fees?

> Maybe. Mindbody Payments does not price by card type, so a debit card costs you the same as a premium rewards card, and every stored-card autopay runs at the card-not-present rate. Export your Payouts report, divide fees by gross sales, then compare your debit-heavy autopays against Visa's published interchange to see the gap.

Maybe, and the way to find out is not to compare your rate with someone else's rate. It is to compare what you pay on each kind of card with what that card actually costs to accept. Mindbody's own help centre says [Mindbody Payments](https://support.mindbodyonline.com/s/article/What-are-my-MINDBODY-Payments-processing-rates-US-Beta?language=en_US) "does not assess card fees based on card types," and that "autopays process at the card-not-present rate because the card is stored." For a studio that bills most of its revenue as monthly autopays, many of them on debit cards, that one design choice decides whether the rate is fair.

The owner who started the loudest r/gymowner thread on this, [MindBody gym software rips you off](https://www.reddit.com/r/gymowner/comments/1pkqls9/mindbody_gym_software_rips_you_off_heres_how/), said they pay "a flat 3.35% (that's discounted and most pay more)" and that fees were "over 50% more right now than when we first started." Another owner in the same thread, also a Mindbody user for more than 10 years, thought the processing fees were "in line with market norms, maybe even a little lower." They can both be right. It depends on your card mix, and you can measure yours in about 20 minutes with the same [effective rate method](https://www.pavadotech.com/blog/how-to-calculate-effective-rate-on-merchant-statement) you would use on any statement.

- **Mindbody does not publish US rates.** Its rates page says to email the payments team. Your signed rate sits in the Payments Portal.
- **One rate for every card.** Mindbody Payments charges by card-present or card-not-present, never by card type, so debit costs you as much as a rewards card.
- **Every autopay is card-not-present.** Memberships billed from a stored card never get the in-person rate.
- **The gap is biggest on debit.** Visa's April 2026 interchange for a regulated debit card online is 0.05% plus $0.21. At 3.35%, a $150 membership costs you $5.03.
- **Mindbody app sales are separate.** They carry a flat 3.5% transaction fee plus a 20% marketplace fee on marketing-tool purchases.
- **Negotiate before you switch.** The merchant account cannot move with you, and autopays stop working without integrated processing.

## First, find out which Mindbody processing account you have

**Your answer depends on which of two account types you are on, so check this before anything else.** Mindbody runs its newer Mindbody Payments accounts on Stripe, and many long-standing US studios still have older accounts with TSYS or Elavon. The two bill differently and are audited differently.

The quick test: if your deposits say **MINDBODY Payments** on your bank statement and you have a Payouts report, you are on Mindbody Payments. The [Mindbody Payments FAQ](https://support.mindbodyonline.com/s/article/MINDBODY-Payments-account-FAQ-US-Beta?language=en_US) says the Payouts report "is your statement," and only the owner login can see it unless Mindbody grants access to someone else. If you instead get a monthly statement around the 5th and log in to TransLink, you are on a legacy account. Most of this post covers Mindbody Payments, because that is where the flat-rate question lives. Legacy accounts get their own check further down.

## How Mindbody Payments decides what you pay

**Mindbody Payments charges one rate for card-present sales and a different, usually higher, rate for card-not-present sales, and the card itself never changes the price.** That is the whole pricing model.

For the US, the [processing rates overview](https://support.mindbodyonline.com/s/article/What-are-my-MINDBODY-Payments-processing-rates-US-Beta?language=en_US) does not list a number. It says: "Email us at joinmbpayments@mindbodyonline.com to learn more about our rates in the US." Canada is published: 2.89% + $0.25 CAD card-not-present, 2.39% + $0.10 CAD card-present, $0.15 for Interac, and 1% + $0.40 CAD for pre-authorized debits. The rates that circulate for the US, such as 2.75% + $0.25 or 3.60% + $0.30 online, come from competitor pages that do not cite a source. One of them, a Trafft review, says outright that "None of those are official figures."

What Mindbody does document is which rate applies to what:

- **Card-not-present:** every autopay, every online store purchase, every Mindbody app purchase, and anything run through a magstripe (non-EMV) mobile reader.
- **Card-present:** a card tapped, inserted or swiped on a desktop terminal or EMV mobile reader.

Now look at your revenue. For most gyms and studios, the bulk of card volume is recurring memberships and class packs billed from a stored card. Mindbody's own autopay FAQ notes that many studios run autopays on the 1st or 15th of the month. All of that volume pays the card-not-present rate, whatever card the member uses.

**Where to find your exact rate.** Mindbody says your rates and terms "are disclosed and agreed to before submitting your application." After approval, hover over the **Fees** column in the Payouts report, or open the **Payments Portal**, where the Account section below Banking Info shows the rate, the date the agreement was signed and the email of whoever signed it. If a former manager signed, you may never have seen the number.

## The debit card gap: where a flat rate costs you most

**A flat rate overcharges you most on debit cards and plain credit cards, and roughly breaks even on premium rewards cards.** That is the honest version of the r/gymowner complaint.

The owner in that thread went too far when they said "debit cards produce ZERO fee." A commenter corrected them: "Debit cards still have an interchange fee, just not as high as credit cards." How much lower is published. Visa's [interchange reimbursement fee schedule](https://usa.visa.com/content/dam/VCOM/download/merchants/visa-usa-interchange-reimbursement-fees.pdf), effective 18 April 2026, sets these card-not-present rates:

- **Regulated debit card** (a debit card from a large bank): 0.05% + $0.21, plus $0.01 for issuers certified under Visa's fraud prevention standards
- **Consumer credit, Recurring**, Traditional, Traditional Rewards and Visa Signature cards: 1.53% + $0.05
- **Consumer credit, Recurring**, Visa Signature Preferred: 2.30% + $0.05

The debit cap comes from federal law. The Federal Reserve's [2023 proposal](https://www.federalreserve.gov/newsevents/pressreleases/bcreg20231025a.htm) put the cap on an average $50 debit transaction at 24.5 cents under the current rule. Smaller banks and credit unions are exempt and charge more, so not every debit card is this cheap.

Here is one $150 monthly membership charged as an autopay:

Interchange is not the whole cost. Card network fees and the processor's own margin sit on top, and a fair all-in price is always above that floor. But the table shows where the money goes. On a premium rewards card, a flat 3.35% leaves a thin margin. On a debit card from a big bank, most of the $5.03 is markup.

For context, Stripe, which powers Mindbody Payments, lists its own standard US pricing at [2.9% + 30¢ online and 2.7% + 5¢ in person](https://stripe.com/us/pricing). On the same $150 online charge that is $4.65. One Kenko user in the r/gymowner thread said they pay "only 2.9% which is the stripe fees," which is an owner's report, not a published Kenko rate. So a flat 3.35% is not wildly out of line with flat-rate pricing. The real question is whether flat pricing suits a studio whose members pay on debit. **To run your own numbers:** export a month of autopays, count how many ran on debit versus credit, and multiply. If your reports only show the card brand, ask Merchant Support for the debit and credit split on your autopays. A studio where most members pay by debit card has the strongest case for asking Mindbody for a lower card-not-present rate or for moving members to ACH.

## Mindbody app sales are not your processing rate

**If you see 3.5% on some payouts, that is Mindbody's app fee, not your merchant rate.** According to the [Mindbody app Payouts FAQ](https://support.mindbodyonline.com/s/article/MB-Promote-Payouts-FAQ?language=en_US), Mindbody "deducts a flat 3.5% transaction fee for every sale on the Mindbody app that occurs through a marketing tool, like promoted intro offers or dynamic pricing," and "in addition to the 3.5% transaction fee, you are charged a 20% marketplace fee if the purchase was made through a marketing tool."

On a $30 promoted intro class, that is $1.05 plus $6.00, so $7.05 of the $30 goes to Mindbody. Whether it is worth it depends on how many of those intro clients convert to memberships, which is a marketing question, not a processing one. Keep it out of your processing math so it does not distort your effective rate. Mindbody says the 20% fee shows either on the Payouts report or, if billed in arrears, on your Network Fees report and subscription invoice.

## The small line items that add up

**Beyond the headline rate, four smaller charges show up in Mindbody accounts, and each has its own switch or setting.**

**1. Card Updater, $1 per updated card.** The [Card Updater FAQ](https://support.mindbodyonline.com/s/article/Mindbody-Card-Updater?language=en_US) says businesses with an integrated merchant account "are opted in to this service automatically" for autopay cards, at "$1 (£1 or €1 depending on your location) for each updated credit card," billed on your Mindbody subscription invoice. For most studios this pays for itself. Mindbody's own figure is an average of three failed autopays a month, about $469 in potential lost revenue, based on its customer data from January 2019 to January 2020. Just know it is there, and that it sits on the software invoice where nobody looks for processing costs.

**2. Declined retries on legacy accounts.** The [autopay FAQ](https://support.mindbodyonline.com/s/article/204370483-AutoPay-Common-Questions?language=en_US) says that when "Number of Days to Resubmit Declined Autopays" is on, "you are billed an authorization fee for every attempted transaction, whether it's successful, declined, refunded, or voided." Set it to seven days and a dead card is charged seven times. The Card Updater FAQ says decline fees "can range from $0.10 to $0.25 in the US, depending on your processor." Mindbody Payments does not charge for declined card transactions, so this matters mainly on TSYS or Elavon accounts.

**3. Chargebacks, $15 each in the US.** Mindbody Payments' [chargeback page](https://support.mindbodyonline.com/s/article/MINDBODY-Payments-chargebacks-US-Beta?language=en_US) lists a US card chargeback fee of $15, refunded if you win. Membership disputes usually come from members who forgot to cancel, and a clear written policy wins most of them. **4. The magstripe reader.** If staff still swipe on an old non-EMV mobile reader, Mindbody says "the transaction processes at a card-not-present rate." That is the same sale at the higher rate for no reason. Replace the reader.

One more note for refunds. Mindbody's transaction fee article says "the processing fee you paid when you first accepted the payment is not returned to you when you complete a refund." ## The 7-point Mindbody processing check

Do this once, with a month of data, and you will know whether you are being overcharged.

1. **Find your account type.** Payouts report and "MINDBODY Payments" deposits mean Mindbody Payments. TransLink statements mean a legacy account.
2. **Read your signed rate.** Payments Portal, Account section. Note the card-present rate, the card-not-present rate and the signing date.
3. **Work out your effective rate.** Mindbody's own [merchant account FAQ](https://support.mindbodyonline.com/s/article/Deposit-Account-Questions?language=en_US) gives the method: total processing fees divided by total sales for the month, averaged over three months. On Mindbody Payments, export the Payouts report and add up the Fees and Gross columns.
4. **Split autopays from front-desk sales.** If autopays are 80% of volume, 80% of your processing runs at the card-not-present rate. That is the number to negotiate.
5. **Count debit versus credit on autopays.** The more debit, the larger the flat-rate markup in the table above.
6. **Separate app fees and Card Updater.** Pull the 3.5% app fees and 20% marketplace fees out of your processing math. Check the subscription invoice for Card Updater lines.
7. **Check your settings.** Retry days on declined autopays (legacy accounts), magstripe readers, and whether ACH is switched on for autopays.

A rough yardstick. If your effective rate on Mindbody Payments sits at or below Stripe's own list price of 2.9% + 30¢, you are not badly overcharged, and the savings are in your card mix and ACH. If it sits well above that, or if you are on a legacy account with monthly fees you cannot explain, there is money to recover. ## Negotiate, move members to ACH, or switch software?

**For most studios the order is: negotiate the card-not-present rate, move willing members to ACH, and only then think about switching software.** The reason is lock-in, and Mindbody documents it.

Mindbody's merchant FAQ says outside processors "don't fully integrate with Mindbody, and without an integrated merchant account, you are not able to use key aspects of the software, such as online store and recurring billing." It also says your Mindbody merchant account "is proprietary to the Mindbody software and cannot be transferred." So bringing your own cheaper processor while staying on Mindbody is not a real option for a membership business.

What you can do:

- **Ask for a lower card-not-present rate.** The merchant FAQ says the business owner can contact support to discuss processor options and should include the reason. Bring your effective rate, your autopay share and your debit share. Owners on r/gymowner describe negotiating the software side too: on a thread about a [300-client gym paying $900 a month](https://www.reddit.com/r/gymowner/comments/1wr3eus/hello_i_run_a_300_client_gym_that_focuses_on/), one owner wrote "you have to negotiate with them. We got down to about $450 a month." That is one owner's report, but it shows the list price is not final. The tactics are the same as when you [negotiate processing rates](https://www.pavadotech.com/blog/how-to-negotiate-toast-processing-rates) with any processor.
- **Offer ACH for memberships.** Mindbody lets you accept ACH in the US if you agree to its rates and terms, set up at application or through Merchant Support. Mindbody does not publish the US ACH rate, so ask. For comparison, Stripe's own ACH pricing is 0.8% capped at $5, and Mindbody's published Canadian PAD rate is 1% + $0.40 CAD. - **Read the software contract before you switch.** Mindbody's merchant FAQ says "you can cancel your merchant account at any time without any fees from Mindbody," but the software subscription is separate. One r/mindbody owner said they were "locked into a 2 year contract" and could not cancel sooner. Price out the remaining term the way you would any [early termination fee](https://www.pavadotech.com/blog/should-i-pay-processor-early-termination-fee) before you move.

If you do switch, budget for the move. The merchant account stays behind, Mindbody says transactions on an old merchant account "cannot be refunded electronically," and every member asked to re-enter a card is a chance for some to quietly stop paying. A FLiiP employee in the 300-client thread gave the most useful warning: you "could end up actually paying more at the end of the month while thinking you are paying less (because monthly price is lower but transaction fees are higher)." Compare total cost, subscription plus processing plus add-ons, on your own card mix.

## Can someone just do this for me?

**You can do the whole check yourself if you are comfortable exporting reports and working in a spreadsheet.** Steps 1 to 3 take about 20 minutes. Step 5, sorting a month of autopays by card type, takes longer on a big member base and is where most owners stop.

It stops being worth your time when you have several locations, a legacy account with a statement you cannot read, or app fees, Card Updater and chargebacks spread across the Payouts report, the Network Fees report and the subscription invoice. The Charlotte gym owner on r/gymowner, [paying close to $600 a month](https://www.reddit.com/r/gymowner/comments/1ufjgf9/software_for_processing_and_programming/) between a $255 subscription and processing, put the feeling plainly: "We are losing money and that upsets me." Whatever you find, bring numbers to Mindbody, not a feeling. "My effective rate is 3.4%, 85% of it is card-not-present autopay and 60% of those are debit cards" gets a different answer than "your fees are too high."

### What is Mindbody's credit card processing rate in the US?

Mindbody does not publish it. Its processing rates page lists fixed rates for Canada, the UK and other regions, but for the US it says to email its payments team. Your own signed rate is in the Payments Portal under Account, below Banking Info, and each transaction's fee shows when you hover over the Fees column in the Payouts report.

### Does Mindbody charge less for debit cards?
