AI bookkeeping services can reduce repetitive administration, but the service is only as useful as the work someone takes responsibility for finishing. Before comparing providers, ask who collects missing documents, reviews uncertain entries, reconciles the accounts and delivers your monthly reports.
For a Canadian small business, the buying decision has three parts: the software, the people operating it and the connections between your tools. If you are still deciding who should run the books, start with our guide to bookkeepers versus accounting software. This guide focuses on evaluating the AI service itself.

What are AI bookkeeping services?
AI bookkeeping services combine software automation with some level of bookkeeping support. Depending on the agreement, that can mean reading receipts, suggesting categories, matching transactions, identifying exceptions or preparing monthly records for review. The label does not tell you whether a human bookkeeper is included.
Ask a provider to describe one month of work from receipt collection to finished reports. A tool that proposes entries leaves a different amount of work with you than a service that also investigates differences and completes the close.
For a concrete example, Intuit's Canadian documentation describes AI category suggestions with explanations and a review step before posting. That is a useful capability; it does not by itself define a complete outsourced service.
Which type of AI bookkeeping help do you need?
Choose according to the unfinished task. These are buying categories, not a ranking of providers.
| Option | Best starting point when | What to confirm before buying |
|---|---|---|
| Accounting software with automation | Your records are manageable and someone already reviews them | Included features, bank support and time still needed each month |
| Bookkeeping service using AI | You want an accountable person or team to operate the books | Named reviewer, reconciliation scope, close date and support |
| Document capture or invoice processing | Receipt collection and bill entry consume the time | Field checks, duplicate handling and attachment retention |
| Workflow integration | Your CRM, invoicing tool and ledger require repeated re-entry | Record ownership, sync direction, failure alerts and corrections |
| Specialist accounting support | You need advice on complex transactions or reporting | Relevant expertise, deliverables and what automation can assist with |
You may need more than one. A contractor might retain a bookkeeper, use receipt capture and connect approved invoices from a job system to the ledger. Our CRM and accounting software guide explains the responsibilities each system needs to retain.
What can AI automate, and what still needs review?
Start with repeatable inputs and explicit rules. Keep ambiguous transactions and consequential changes visible to a reviewer.
Receipt and invoice capture
Capture can replace retyping, but extraction needs a destination and a check. QuickBooks' receipt workflow extracts information for review, then lets users add a transaction or match an existing one.
Your test should include an invoice uploaded twice, a credit note and an unreadable tax amount. Can the system keep the source beside the proposed values and stop a second entry? Use the invoice OCR validation checklist to test duplicate prevention rather than judging a demo by its cleanest receipt.
Transaction suggestions and repeat rules
Recurring, well-understood transactions can suit rules. Intuit documents both bank rules and optional auto-posting. An automatic rule and an AI prediction are different mechanisms; ask which one made an entry and how a reviewer can change it.
Set review rules for new suppliers, unfamiliar transfers and missing context. A confident suggestion does not establish the business purpose of a purchase.
Reconciliation and the monthly close
Ask a provider to demonstrate how it handles a difference, not just a successful match. A payment processor deposit may combine payments, refunds and fees. You need an explanation connecting the original records to the bank movement.
Our guide to reconciling CRM invoices with QuickBooks walks through that distinction. For a service contract, request a clear monthly deliverable: reconciled accounts, outstanding questions, agreed reports and a named person responsible for completion.
What should Canadian businesses check?
Automation does not transfer your responsibility for keeping adequate business records. The Canada Revenue Agency's recordkeeping guidance says this responsibility remains with you when a third party handles the records. It also specifies keeping records for six years from the end of the last tax year they relate to, with additional rules for particular situations.
Before signing, check:
- Tax review: who confirms GST/HST treatment, provincial sales taxes where relevant and the supporting information needed for filings?
- Service boundaries: are payroll, returns, catch-up work and year-end coordination included or separately quoted?
- Record access: can you retrieve the ledger, source documents and history in a usable format?
- Storage and processing: where are records kept, which providers handle them and how does the arrangement meet your obligations? CRA guidance also addresses record location; do not assume a foreign cloud subscription settles that question.
- Exit: who controls administrative access, what can you export and what happens after cancellation?
Ask your accountant to confirm the requirements specific to your business. A vendor's claim that a product is “Canadian tax ready” should lead to a demonstration of your actual workflow.
How much do AI bookkeeping services cost?
There is no useful single price without defining the scope. Compare the total cost of getting a month finished, including software, bookkeeping labour, your remaining administration, setup and correction work. Confirm currency, taxes, transaction limits, entities and optional services in every quote.
Use this worksheet with your own figures. The following amounts are hypothetical CAD estimates, not market rates, a Pavado quote or promised savings.
| Monthly cost | Current process | Proposed process |
|---|---|---|
| Software | $80 | $130 |
| Bookkeeping service | $350 | $350 |
| Owner administration at an assumed $50/hour | 8 hours = $400 | 3 hours = $150 |
| Total including the value of owner time | $830 | $630 |
In this example, the reduction is $200 per month after valuing the owner's time. A hypothetical $1,200 setup fee would take six months to recover if those time reductions occur and no other costs change. The cash outlay actually rises by $50 per month; the benefit depends on whether freeing five hours is valuable to this business.
Keep cash savings separate from time capacity. Add any expected exception handling and support costs before deciding. If the provider also changes your bookkeeping fee, put that amount into the worksheet rather than counting it twice.
Tell Pavado which tools you use, your approximate monthly document volume and the task your team repeats. We can scope an integration or review workflow, including separate setup and running costs. The first conversation and scoped proposal are free. Describe the process without sending financial records or credentials.
What should you ask an AI bookkeeping provider?
Send the same questions to every provider so the proposals cover comparable work.
- Who does what? Name the person or team responsible for reviewing entries, reconciling accounts and finishing the month.
- What is excluded? List payroll, sales tax filings, corporate returns, historical cleanup and specialist reporting separately.
- What does “automated” mean? Show the difference between suggested, approved and posted records.
- How are exceptions resolved? Show the queue, source evidence, reviewer and escalation process.
- What happens after an edit? Demonstrate a corrected invoice, refund and failed sync without creating duplicates.
- What will I receive and when? Specify reports, close dates and what happens when documents are missing.
- What will the full cost be? Include subscriptions, setup, limits, overages, support and cancellation.
- Can I leave with usable records? Perform an export, including attachments, before committing.
For connected systems, use our QuickBooks sync trial tests. For continuity, review the software exit checklist. A working export is stronger evidence than a promise that you own your data.
How to test a service before moving your books
Run a limited pilot with your bookkeeper's agreed reference answers. Keep the test separate from live posting until the review rules work.
- Select a permitted sample covering normal activity and awkward cases: duplicates, refunds, transfers, missing receipts, split purchases and fee-netted deposits.
- Record the expected outcome and the source evidence for each case. Let the responsible reviewer resolve accounting questions first.
- Track correct suggestions, wrong suggestions, unresolved items and review time. Count wrong entries that pass through as well as those the system flags.
- Test a disconnected bank feed, retry and corrected invoice. Check whether records go missing or get created twice.
- Complete a sample reconciliation, reports and export. Compare the total effort with your existing process.
Agree acceptance criteria before seeing the results. The right threshold depends on the consequences of an error and who reviews the work; a vendor's overall accuracy percentage cannot decide that for you.
The human side matters too. In an April 2026 Canadian small-business discussion, one participant wanted simpler receipt and invoicing tools, while another described missing documents and fragmented systems as continuing work. These are individual experiences, not a survey, but they suggest a useful pilot question: does this service reduce the chasing and correction your team actually does?
Where can Pavado help with bookkeeping automation?
Pavado builds custom CRM systems and scopes integrations around the tools and access available. If your bookkeeper can do the accounting but spends time chasing documents or fixing software handoffs, discuss the workflow with Pavado.
Bring the names of your tools, approximate monthly volumes and one recurring failure. We can assess native features versus a focused build, define approval points and outline a first implementation. Integration availability and third-party costs depend on the providers involved. Your bookkeeper or accountant should own the accounting decisions and filing responsibilities.
Choose a first step: use the checklist to compare an outsourced service, ask your current bookkeeper which automation would help, or request a free scoped proposal from Pavado for a broken handoff. Start with the task you want finished and make its owner explicit.
