A gap is not automatically an overcharge. Card-not-present, keyed, online and pay-at-table payments often carry a different contracted rate, and monthly or chargeback fees are legitimate if they are in the agreement. Split the statement by payment type before drawing a conclusion.
The formula
This is exactly what the calculator above computes.
effective rate = total fees / card volume x 100 expected fees = card volume x contracted % + transactions x per-transaction fee gap = total fees - expected fees annual gap = gap x 12
Worked example (hypothetical numbers)
- Card volume $120,000, 3,400 transactions, total fees $3,480.
- Effective rate: $3,480 / $120,000 = 2.90%.
- Contracted 2.49% + $0.15: $2,988 + $510 = $3,498 expected.
- Gap: $3,480 - $3,498 = -$18. This statement is in line with the contract.
At 2.90% effective the statement matches the contract. Had fees been $3,900, the gap would be $402 a month, $4,824 a year, worth a line-by-line review.
What this does not account for
- Card-not-present, keyed, online and pay-at-table payments often carry a different contracted rate. Split the statement by payment type and run each one separately.
- Monthly, PCI, chargeback and hardware fees are legitimate if your agreement lists them. They raise the effective rate without being an error.
- Toast treats processing errors not reported within 30 days as waived, so run this on every statement, not once a year.
- One month can mislead. Run three to twelve months: a gap that appears in the same month every year is a rate change, not noise.
Frequently asked questions
- What is a good effective rate for a restaurant?
- It depends on your card mix and how cards are taken. Card-present payments cost less than online or keyed ones. Track your own effective rate month over month; a rise with no change in card mix is the signal.
- Can I get money back for overcharged processing fees?
- If a fee or rate differs from your signed agreement, you can ask the processor to correct it and refund the difference. Your statements and agreement are the evidence; how far back a processor will go varies.
