Garage Door Dispatch: The Spring Is the Constraint

One 175 lb door had 15 valid spring specs. A dispatch board that does not know which one is on the truck is scheduling a second trip, not a service call.

The short answer

Garage door scheduling and dispatch software is judged on parts probability, not calendar polish. A dispatched spring call only completes if the right wire size, inside diameter and length are already on the truck, and one door can have a dozen valid specs. Buy the system that stores a record per opening, runs a separate install calendar, and leaves an interrupt slot for broken springs.

What separates them is whether the truck arriving at that appointment carries the spring the job needs, because in this trade a dispatched call is not a completed call. That distinction is missing from almost every page selling you this software.

The short answer

Buy the system that can answer three questions your dispatch board currently cannot: what parts does this job probably need, are they on the truck I am about to send, and what did we install at this address last time. Everything else, the drag and drop calendar, the on-my-way text, the QuickBooks sync, is commodity, and Jobber, Housecall Pro, Workiz and Smart Service all do it well enough.

The reason the rest matters is that a second trip here is uniquely expensive. Your technician has already driven out, released the tension, diagnosed the door and quoted a price. Then he leaves without doing the work. You paid the full acquisition cost and the full drive time for zero revenue, and handed the customer an hour to call the next company.

Why garage door dispatch is not HVAC dispatch

In most trades, dispatch is a matching problem: a job needs a skill level and a time window, technicians have skill levels and open windows, and the software finds the overlap. The parts question is real but bounded, because a capacitor or a wax ring is small, cheap and standard, and every truck carries a spread of them.

Garage door breaks that model, because the most common service call is a broken torsion spring, and a torsion spring is not a standard item. It is a specification.

A spring is defined by wire size, inside diameter, length and wind direction. Residential wire sizes run through .207, .218, .225, .234, .243, .250 and .262. Inside diameters are commonly 1.75, 2.00 and 2.625 inches. Lengths run from the low twenties into the forties. Springs are handed, so a two-spring system needs one left wind and one right wind. Multiplied out, the residential SKU space runs to hundreds of combinations before you touch high lift, commercial or oddball doors.

By the numbers

When a homeowner on r/GarageDoorService asked what would fit his broken setup, the supplier Dura-Lift returned 15 valid options for one 175 pound door: .207 x 2 x 23, 24 and 25; .218 x 2 x 29, 30 and 31; .225 x 2 x 34, 35 and 36; plus .207 x 1.75 x 25, 26 and 27 and .218 x 1.75 x 33, 34 and 35. He installed the .218 x 2 x 31. Fifteen right answers for one door is the whole dispatch problem in one list.

Nothing on a dispatch board narrows that list. The homeowner does not know the wire size, and photographs rarely resolve it. The technician measures on arrival, and the job completes or does not depending on decisions your purchasing made weeks earlier.

The metric nobody sells you: forecastable parts coverage

The honest metric here is the share of dispatched calls your truck stock can complete on the first visit. Vendors call it first-time fix rate and mostly quote it without evidence. Compute your own, because it is the number software can genuinely move.

Working technicians solve coverage three ways, and each has a different software requirement.

Carry precut stock at IPPT intervals. One technician keeps precut 2 inch inside diameter springs on the truck and matches by inch pounds per turn rather than exact door weight, accepting a margin of about 1.5 to 2 IPPT. A standard 7 or 8 foot door with 12 or 15 inch radius track and 4 inch drums balances inside that margin. He notes a 130 pound door on 12 inch radius track has an IPPT of 38.78, and he fits a spring rated at 40. That requires software tracking stock by specification, not by a line item called "torsion spring."

Carry raw coil stock and cut on site. Another recommends carrying .225 x 2 and .262 x 2 raw coil in both winds and torching to length in the driveway, his best recommendation because those two wire sizes cover a lot of doors. This converts a parts problem into a labor problem and needs almost nothing from your software.

Only service what you installed. A third operator, working a low population area with 30 to 45 minute drives between towns, concluded it is "almost just easier to only service what you install and have a record of what's there before you go." That is not a parts strategy. It is a database strategy, and the category ignores it.

Watch out

Beware the coverage claims. One technician pushed back on the idea that a truck can cover 90 percent of doors: "I have more springs at my shop than I would ever want to carry on a truck and still come across doors pretty often that I have to order one for." Guys reporting high coverage, he suspects, are working subdivisions full of modern doors. Your coverage number is regional. Somebody else's is not evidence about yours.

Stops per day is set by geography, not by the board

The standard pitch is that dispatch software raises jobs per technician per day. In garage door that does not survive contact with operators.

One vendor page for the trade publishes a before and after table claiming jobs per technician per day moves from 4.2 to 6.8, a 62 percent increase, alongside first-time fix moving from 68 to 82 percent. No study, sample or methodology is attached. Here is what operators reported when one asked the subreddit directly:

The spread is explained by drive time, market density and inspection depth, not by software. The technician arguing for a cap of four made the tradeoff explicit: "If your techs are properly inspecting every door they go to, 4 calls will take them 8+ hours a day. Properly inspected doors increase your revenue per job." He disassembles the door on every call and lays the bearings, drums, bottom brackets, cables and rollers on a table beside new parts so the homeowner sees the wear.

That is a deliberate trade of stops for ticket size, and a board optimizing for stops fights it.

Tip

Before you evaluate any product, compute your own baseline: stops per technician per day, revenue per stop, and the percentage of calls that required a second visit. If a vendor's projected improvement does not specify which of those three it moves, it is not a projection.

The two-calendar problem

Garage door companies run two operations that share a phone number and nothing else, and most dispatch boards model only the first one.

Service is interrupt driven. A broken spring is an emergency: the car is inside and the door will not open. That call must break into a route planned yesterday. Volume sits between 4 and 10 stops depending on geography.

Install is crew based and supplier gated. Reported throughput clusters tightly: one operator's four installers do a minimum of 2 doors and motors per day, another's crews run "a door and opener or 2 a day, 5 days a week," and a Florida shop runs installers at 5 doors with openers across 8 to 9 hours. Commercial stretches to 2 or 3 days per job. Crucially, the middle of an install is not yours to schedule. The door is a special order, and it arrives when the supplier ships it.

These need separate rules. A service stop is a slot. An install is a project with a hold in the middle. Blend them into one calendar and one cycle time, and every install stalled on freight looks identical to one progressing normally. Ask any vendor to show a board where a crew-day of install capacity and a technician-day of service capacity are different objects. Most will show you the same calendar twice.

Store the record per opening, not per customer

This is the highest-leverage change available to you, and no off the shelf product does it well.

Standard field service software organizes around a customer, who has an address and a job history. That model came from trades where the serviced thing is one unit per building. A garage door company services openings. A house can have a 16x7 and a 9x7 on different springs, installed in different decades. A commercial site can have twelve.

If your record is the customer, every visit starts from zero and the specification is rediscovered on site. If your record is the opening, the second visit arrives already knowing wire size, inside diameter, length, track radius, drum size, door weight and opener model. That call is a first-time fix by construction, and it is the generalized version of the "only service what you install" strategy that operator landed on by hand.

The fields that matter per opening:

  • Door size, panel construction and measured weight
  • Spring specification: wire size, inside diameter, length, wind, high-cycle or not
  • Track radius, drum size and lift type, standard, high lift or vertical
  • Opener make, model and installed date
  • Install date and the last three service dates
  • Photographs of the spring anchor and label

Most of that is captured for free during a job your technician is already doing. It is missing from your system because your system has no field for it.

There is a commercial reason to do this beyond first-time fix. Spring cycle life is roughly 10,000 cycles on a standard spring, and the arithmetic is straightforward: at 3 cycles a day, that is 1,095 cycles a year, or a little over 9 years of life. A system holding install dates per opening can tell you which doors in your own customer base are entering that window, which turns a dead database into a maintenance list.

What operators actually pay

Published entry pricing is low and misleading, because the entry tier is not the tier a garage door company with trucks runs on.

The ServiceTitan data point is the sharpest. A technician whose company had "4 guys total and 2 trucks" was told there was a 4 license minimum "which is a lot more expensive than I would have thought," and went with JobFilez, built by a garage door operator and launched in 2019, on 2 licenses instead. Another operator's blunt framing: ServiceTitan and Jobber are "built for 50+ employee operations."

Two Housecall Pro users in one thread show how quietly the real number arrives. One said "we are a small operation and use house call pro. Super easy." Another replied "also use HCP but it is $180 a month." The first: "I didn't realize it was that expensive."

That exchange is the category in miniature. The software is easy enough that owners stop auditing what it costs.

Diagnose the bottleneck before you buy the board

The most common misdiagnosis in this trade is buying dispatch software to fix an intake problem. Software cannot dispatch a call nobody answered.

The staffing ratios operators report are startling if you assume dispatch is the hard part. One garage door company with 6 technicians, now down to 4, keeps three people on phones: one handling appointments, parts orders and shipping, a co-owner booking appointments, and a family member on payroll who also takes calls. After-hours emergencies route to the owner directly. That is roughly one phone seat per one and a half technicians.

The subreddit's advice to a new operator was unsentimental: "Just don't miss calls. If you're just starting out, you need to have that phone with you at all times. Until you can hire a dispatcher, you ALWAYS pick up the phone."

The demo checklist

Take these into a demo. They are built so a generic field service product cannot bluff them.

  1. Stock a spring as a specification. Have them put .225 x 2 x 34 left wind on a truck and distinguish it from .225 x 2 x 36 right wind. If it becomes free text, inventory reporting is decorative.
  2. Show truck-level stock, not warehouse stock. Which parts are on which vehicle now, and did job completion decrement them.
  3. Two openings, one address. Create a customer with a 16x7 and a 9x7 on different springs and install dates. Show the service history of just the 9x7.
  4. Interrupt a route. Insert an emergency spring call into a booked day and show what got displaced and who was notified.
  5. Show a stalled install. Show every job currently blocked on a supplier, sorted by days waiting.
  6. Separate the capacity types. Install crew-days and service technician-days as distinct capacity, not one calendar filtered twice.
  7. Second-trip reporting. A report of calls needing a return visit, with a reason code. Without it you cannot measure the only thing that matters here.
  8. Get the all-in price at your headcount. Subscription, per user, processing, implementation, and whether a license minimum exists.

Any vendor clearing items 1, 3 and 7 is doing something genuinely useful for a garage door company. Most clear none, which is why so many shops run Housecall Pro for the commodity layer and a spreadsheet for the door records.

When a custom build is the honest answer

Buy first. That is the right default, and it is the same conclusion we reached comparing CRM and field service software for garage door companies. Housecall Pro, Jobber, Workiz and Smart Service are mature, and a tool your technicians will actually open beats a bespoke one you have to maintain.

A custom build earns its keep in one situation: when the constraint actually costing you money cannot be modelled in any product you tried. For garage door companies that constraint is almost always the same one. It is the door record, truck stock keyed to specification, and an install pipeline gated on freight. Those are not obscure. They are just outside the shape of a category designed around a customer who owns one furnace.

Size it before you decide. At 6 stops per technician per day, five days a week, a second-trip rate moving from 20 percent to 8 percent is roughly 3.6 recovered stops per technician per week. Price that against your average ticket. Most 2-truck shops will still find the answer is "buy." Most 8-truck shops will not.

The bottom line

This software is sold as a calendar and bought as a calendar, and the calendar was never the constraint. The constraint is that your dispatcher commits a truck to a job whose parts requirement will not be known for another 40 minutes, and the specification that resolves it was sitting in a photograph nobody stored.

Pick for parts probability. Store the record per opening. Keep the install calendar separate from the service calendar. Then judge vendors on second-trip rate, the only number in this category that is both measurable and yours.
